Legacy TMS Advisory & Migration

Your TMS has run dispatch, billing, and settlements for years. Now the upgrades are behind, the custom code is undocumented, and nobody is sure what's under the hood. We help you stabilize it, get more out of it, or plan a clean exit, with no license to sell you.

When your system of record becomes a risk

Most carriers didn't pick their TMS last year. They picked it a decade or two ago, built their operation around it, and kept trucking. Over time the system picked up custom reports, one-off interfaces, workarounds that only one person remembers, and versions that drifted further from current. It still moves freight, but every month it gets harder to change.

That's the legacy TMS trap. You know the signs:

  • Upgrades keep slipping. The vendor's queue is months out, and nobody wants to touch custom code without a safety net.
  • Tribal knowledge. Key setups and reports live in one person's head, and that person is close to retirement or already gone.
  • Dirty data. Duplicate customers, stale rate tables, and orphaned records make billing slow and reporting unreliable.
  • Bolt-on sprawl. ELD, fuel card, imaging, and accounting interfaces were added one at a time, and nobody has the full picture.
  • Pressure to replace. Vendors are pitching a rip-and-replace, but nobody has put a real number on what you'd gain or risk.

You need someone who has worked inside these systems, at the database, in the dispatch office, and on go-live week, and who has no reason to steer you anywhere but where the numbers point.

Three paths: Stabilize, Optimize, or Exit

Every engagement starts with an honest assessment. From there, we recommend one of three paths. Many carriers move through all three over time.

1. Stabilize

Get the system you own back under control. We document the configuration, inventory every custom modification and interface, verify backups and recovery, and bring the system up to a supported, current release.

  • Configuration and customization inventory
  • Upgrade planning, test environment, and execution, including custom code compatibility checks
  • Backup, recovery, and access review
  • Documentation that outlasts any single employee

2. Optimize

Most carriers use a fraction of what their TMS can do. As our original site put it years ago: "There is a lot to the software package, and it has more there than you know." We find the unused capability and put it to work.

  • Workflow review across order entry, dispatch, billing, settlements, and AR
  • Rating and tariff cleanup, fuel surcharge tables, and accessorial setups
  • Custom reports, invoices, settlement statements, and cheques (see Reporting & Business Documents)
  • Targeted retraining for dispatch, billing, and payroll staff (see Training & Enablement)
  • SQL data cleanup: duplicate customers, dead lanes, stale records (see SQL Data Mining)

3. Exit

When the system truly can't take you where you're going, we plan the move off it so it's controlled, measured, and reversible until the day you cut over.

  • Business case: total cost of staying vs. moving, in plain numbers
  • Requirements and vendor-neutral selection (see TMS Selection & Advisory)
  • Data migration plan: mapping, cleansing, test loads, and reconciliation
  • Parallel run, cutover weekend, and go-live support (see TMS Implementation & Go-Live)

Independent by design

Strong Tower never requires you to buy our software. Our sister company, Exspeedite, builds a TMS, and that's exactly why we know what's under the hood of yours. If staying put is the right answer, we'll say so. If another product fits better, we'll say that too.

Legacy AS400/TMW Decommissioning & Data Preservation Matrix

Retiring an AS400, Sybase, or legacy on-premise SQL TMS requires surgical precision to prevent lost freight histories, broken audit trails, or regulatory non-compliance. Strong Tower engineers legacy decommissionings across five critical preservation gates:

Decommissioning Discipline Legacy Platform Failure Risk Strong Tower Extraction Protocol Carrier Regulatory & Operational Defense
1. Shadow Cloning & Extraction Running heavy queries directly against production dispatch tables locks tables and crashes live operations. Deploy non-blocking transaction log replication and off-hours shadow clones, extracting gigabytes without impacting dispatch. Guarantees 100% continuous fleet uptime during the multi-week historical data extraction process.
2. 7-Year Audit Vault Creation Retaining expensive annual server maintenance fees just to answer occasional IRS, DOT, or IFTA tax audits. Transform proprietary database schemas into an immutable, searchable read-only cloud archive with custom web search forms. Eliminates $20,000 to $60,000 in annual legacy server licensing while satisfying all statutory record-retention laws.
3. EDI Trading Partner Cutover Switching TMS platforms breaks shipper EDI 204/214/210 flows, leading to rejected loads and scorecard fines. Dual-run translation pipelines in parallel, testing EDI 997 acknowledgments before executing a coordinated weekend flip. Preserves 100% of tier-1 shipper EDI relationships with zero dropped loads or invoice submission delays.
4. Stored Procedure Reverse-Engineering Undocumented rating algorithms or driver settlement formulas lost when proprietary legacy code is shut down. Forensically deconstruct legacy triggers and stored procedures, documenting underlying business logic in modern code. Preserves proprietary carrier rating rules and driver settlement models in the target replacement platform.
5. NIST-Compliant Hardware Sanitization Decommissioned physical server drives contain unencrypted driver SSNs, bank info, and customer rate contracts. Execute NIST SP 800-88 compliant cryptographic wiping and physical hardware destruction with certified compliance documentation. Protects carrier from catastrophic data breach liabilities, identity theft, and corporate espionage.

Legacy TMS Strategic Decision Matrix

Before committing to a multi-year cloud replacement or resigning your carrier to perpetual on-premise maintenance, evaluate your system against these operational indicators:

Operational Dimension Path 1: Stabilize (Immediate Risk Mitigation) Path 2: Optimize (Extraction & Automation) Path 3: Replacement / Exit (Full Migration)
Database Architecture Unsupported Sybase / SQL 2008-2014, disk latency spikes, fragmented indexes, missing transaction logs. Standardized SQL Server with nightly index maintenance, clean read-only analytics replication. Modern cloud native SQL/PostgreSQL or fully managed SaaS multi-tenant database.
Reporting & Analytics Dozens of broken Crystal Reports (.rpt), manual Excel exports with 4-hour copy-paste cycles. Automated reporting pipeline, consolidated SQL views, direct Power BI / live KPI dashboards. Native real-time executive HUDs, automated margin reporting, automated scheduled distribution.
ELD & EDI Integrations Fragile flat-file FTP scripts that fail silently, manual double-entry for outside carriers. Custom REST middleware, auto-retrying EDI 204/214/210 translation pipelines. Pre-built REST API carrier-neutral ELD integration, live HOS clocks, automated 2-way dispatch.
Staff & Key-Person Risk Single internal IT person or aging outside contractor holding proprietary knowledge. Full institutional documentation, runbooks, and Strong Tower fractional Tier-3 DBA advisory. Zero on-premise infrastructure burden, institutional 24/7 platform support SLAs.
Typical ROI Horizon 1 to 3 weeks to eliminate crash risk and uncorrupted nightly backups. 2 to 4 months to recover 8-15 hours/week of dispatcher and billing clerical labor. 6 to 12 months for enterprise fleet efficiency, lower tech debt, and unconstrained scaling.

Truckmate expertise

Since 2008, a big share of our field work has been on Truckmate: new installations, version upgrades, custom code reviews, conversions, and go-live weeks on site with carriers across the country. Our team includes people who led Training & Installation at Maddocks Systems, Truckmate's original developer, before it became part of TMW Systems.

Clients have trusted us with:

  • Upgrades on your schedule. When the vendor's queue is months out, we can take on the installation, testing, and training parts of the project to bring your date in.
  • Custom code compatibility. Before an upgrade, we check every modification. Customer-requested enhancements are often rolled into the next release, and we confirm what can be retired.
  • First-time go-lives. Planning, staff training, and on-site go-live week.
  • Add-on modules. Mobile communications, repair & maintenance, imaging, and accounting interfaces.
Since you came aboard our staff now experiences an almost instant response to any Truckmate issues that may arise. The increase in our productivity has been dramatic.

How a legacy TMS engagement runs

  1. Discovery (on site or remote). We interview dispatch, billing, safety, payroll, and leadership, then review the system itself: version, configuration, customizations, interfaces, and data quality.
  2. Findings & recommendation. A written assessment ranking risks and opportunities, with a clear Stabilize / Optimize / Exit recommendation and what each path costs.
  3. Plan. Scope, schedule, test plan, rollback plan, and who owns what on your team and ours.
  4. Execute. Upgrades, cleanup, configuration, reports, training, or migration, managed to the plan with regular status reporting.
  5. Sustain. Ongoing support and advisory so the gains hold (see On-Site & Remote Support).

Who this is for

Truckload and LTL carriers, brokerage operations, intermodal and drayage companies, and private fleets running Truckmate or another long-standing TMS, especially if you're:

  • More than one major release behind
  • Carrying custom code or interfaces nobody has documented
  • Being pitched a replacement and want an independent second opinion
  • Growing through acquisition and running more than one system

Frequently asked questions

Do we have to replace our legacy TMS?

No. Many carriers get years of additional value from the system they already own once it's stabilized, cleaned up, and properly configured. We recommend a replacement only when the numbers support it.

Can you help with a Truckmate upgrade when the vendor's schedule is months out?

Yes. We've performed Truckmate upgrades, custom code reviews, and installations since 2008, and we can take on the installation, testing, and training parts of an upgrade to bring your timeline in.

Will you push us toward Exspeedite software?

No. Strong Tower Consulting is independent advisory. Our consulting never requires buying our sister company's software, and if another product is the better fit, we'll tell you.

What happens to our historical data if we migrate?

We plan the data path before anything moves: customers, rates, equipment, drivers, open AR and AP, and the history you need for reporting and audits. We map, cleanse, test-load, and reconcile it so nothing is lost at cutover.

Do you work on site?

Yes. Assessments and go-live weeks are usually on site, and ongoing work is often remote. We match the mix to the project.

How do you extract historical freight data from legacy databases without disrupting live dispatch?

We extract legacy records using non-blocking read-committed transaction log mirrors and off-hours shadow database clones. Whether your archive sits in on-premise Microsoft SQL Server, Sybase Adaptive Server Enterprise, or Informix, we never run heavy unbounded queries directly against production dispatch tables during business hours. We stage customer rate histories, order logs, driver settlement ledgers, and maintenance records into an intermediate staging warehouse, run automated data-cleansing pipelines to eliminate duplicates and orphaned foreign keys, and validate line-by-line financial balances against your general ledger before loading into your target platform.
